This policy explains how Kiaan Technology Solutions Ltd. collects, uses, discloses, protects, and retains personal information when people visit our website, ask about training, book or buy a course, attend training, or communicate with us.
We follow Alberta’s Personal Information Protection Act where it applies. Canada’s Personal Information Protection and Electronic Documents Act may apply to personal information involved in commercial activity across provincial or national borders. Kiaan has designated the contact listed below to answer privacy questions and coordinate compliance.
2. Personal information we may collect
- Contact details, such as name, email address, telephone number, and mailing or billing address.
- Booking details, including selected course, preferred format, schedule, attendance, and communications.
- Transaction details, such as amount paid, date, payment status, refunds, and invoice information.
- Learning and accessibility information that a learner voluntarily provides so we can adapt training.
- Technical information that hosting, security, or payment services may process, such as IP address, browser details, device type, and security logs.
- Feedback, complaints, and other information included in messages.
Please do not send passwords, full payment-card numbers, government identification numbers, medical records, or other sensitive information unless we specifically request it for a lawful and necessary purpose.
3. How we use personal information
- Answer questions and recommend an appropriate course.
- Process orders, payments, invoices, cancellations, and refunds.
- Schedule and deliver online or in-person training.
- Adapt training where a learner requests reasonable support.
- Send confirmations, reminders, service notices, and course materials.

- Protect our website, learners, instructors, and business from fraud or misuse.
- Meet legal and regulatory obligations.
- Send marketing only with appropriate consent or another lawful basis.
4. Consent and choices
We identify the purpose for collection before or when information is collected. By voluntarily providing information for a stated purpose, a person consents to its reasonable use for that purpose. Consent may be withdrawn, subject to legal or contractual restrictions and reasonable notice. Withdrawal may prevent us from completing a booking or delivering a requested service.
Marketing consent is separate from purchase-related communications. A person may unsubscribe from promotional email at any time.
5. When information may be shared
We do not sell personal information. We may disclose information only as reasonably necessary to service providers that help with hosting, email, scheduling, videoconferencing, accounting, payment processing, or course delivery; to professional advisers; in a business reorganization; with consent; or where required or permitted by law.
Service providers are expected to protect information and use it only for authorized purposes. A provider may process information outside Alberta or Canada, where it can be subject to the laws of that location. When applicable, information about foreign service providers and the person who can answer questions about them will be made available.
6. Payment information
If online payment is introduced, payment-card details should be entered directly into the checkout supplied by the disclosed payment processor. Kiaan should not receive or store the complete card number or security code unless specifically stated. The processor’s own privacy terms also apply to its processing.
7. Cookies and website technology
The current website does not intentionally use advertising cookies or cross-site tracking. Hosting providers may process basic technical logs needed to serve and secure the site. If optional analytics, advertising, or other non-essential cookies are added later, this policy and any required consent controls will be updated before their use.
8. Retention and disposal
We keep personal information only as long as reasonably necessary for the identified purpose and applicable legal, tax, accounting, warranty, or dispute requirements. Records are then securely deleted, destroyed, or anonymized. Retention periods may vary by record type.
9. Security
We use reasonable administrative, technical, and physical safeguards appropriate to the sensitivity of the information. No email, website, or storage system is completely secure, so absolute security cannot be guaranteed. Where a privacy breach creates a legally reportable risk, we will take the steps required by applicable law.
10. Access, correction, and complaints
A person may ask whether we hold their personal information, request access, or request correction, subject to lawful exceptions. We may need to verify identity before responding. Requests should be made in writing to the privacy contact. If a concern is not resolved, an individual may contact the Office of the Information and Privacy Commissioner of Alberta or another regulator with jurisdiction.
11. Children and minors
A parent or legal guardian should make or approve a purchase for a learner who is under the age of majority. We aim to collect only the information reasonably needed to arrange and deliver the course.

We may update this policy when our practices, providers, or legal obligations change. The current version and effective date will be posted here. Material changes will be highlighted or communicated where required.
